Terms of service
Effective November 1, 2026
These terms apply to the use of ReadySetCleared (“the service”) by a medical practice (“the practice”) and its staff. By using the service you agree to them. If the practice has a separate signed agreement with ReadySetCleared, that agreement takes precedence where the two differ.
What the service does
ReadySetCleared helps practice staff coordinate pre-procedure clearances: tracking requests to a patient's doctor, follow-up calls, returned forms, and sending the result to the procedure facility. It reads documents and email to make suggestions, which staff confirm.
Not medical advice
ReadySetCleared is an administrative tool. It does not decide whether a patient is medically cleared and does not give medical advice. Staff record what the clearing doctor wrote on the form. Suggestions the service makes (for example, which patient a form belongs to, or what a form appears to say) can be wrong and must be checked by a person. The practice remains responsible for all clinical decisions and for the accuracy of what it records.
Accounts
- The practice decides who gets an account and is responsible for removing access when someone leaves.
- Keep your password private and don't share accounts. Tell us right away at hello@readysetcleared.com if you suspect misuse.
- You are responsible for activity under your account.
Patient information and HIPAA
Real patient information may be entered only after the practice and ReadySetCleared have signed a Business Associate Agreement. ReadySetCleared handles patient information as described in that agreement and in our privacy policy. The practice is responsible for having the right to share the information it puts into the service and for sending patient upload links only to the right patient.
Connected mailboxes
If the practice connects a Google mailbox, it confirms it is authorised to do so for that mailbox. ReadySetCleared reads mail as described in the privacy policy and only adds a label to messages it has read. The practice can disconnect the mailbox at any time.
Acceptable use
Don't use the service to break the law, to access data you aren't allowed to see, to interfere with or probe the service's security, or to upload malicious files.
Availability and changes
We work to keep the service available and secure, but it may sometimes be unavailable for maintenance or because of problems outside our control. The practice should keep its own way to work if the service is down (for example, its EHR and fax records). We may improve or change the service; we will give notice before removing something the practice relies on.
Your data
The practice owns its data. When the practice stops using the service, we return its data and then delete it, as set out in the privacy policy and the practice's agreement.
Ending use
The practice may stop using the service at any time. We may suspend an account that breaks these terms or puts the service or patient information at risk, and will tell the practice when we do.
Disclaimers and liability
Except as stated in a signed agreement with the practice, the service is provided “as is” without warranties of any kind, and to the extent the law allows, ReadySetCleared is not liable for indirect or consequential losses arising from use of the service. Nothing in these terms limits liability that cannot be limited by law or obligations under a Business Associate Agreement.
Changes to these terms
If these terms change, we will update this page and its effective date, and tell practices of significant changes.
